Conditions of Service for CliniHair

1. Booking and Appointments

• Appointments must be booked in advance through our website, email, or phone.
• Clients are required to provide accurate contact and medical information when booking.
• CliniHair reserves the right to reschedule or cancel appointments for unforeseen reasons, with appropriate notice provided.

2. Payments

Full payment is required at the time of booking to confirm your appointment. Payment is processed securely via Stripe.

• CliniHair accepts payment by credit or debit card via Stripe, processed through the Halaxy booking system.
• Your appointment is not confirmed until full payment has been received.
• Prices are as listed on our website at the time of booking.

3. Cancellations and Refunds

Cancellations by the Client

• Cancellations made more than 48 hours before the scheduled appointment are eligible for a full refund.
• Cancellations made within 48 hours of the appointment will not be eligible for a refund.
• No-shows (failure to attend without prior notice) will forfeit the full payment.

Late Arrivals

• If you arrive late to your appointment, the session will run for the remaining scheduled time only. No refund or discount will be issued for time lost due to late arrival.

Cancellations by CliniHair

• In the unlikely event that CliniHair needs to cancel your appointment, you will be offered a full refund or the option to reschedule at no additional cost.

4. Online Consultations

• Online consultations are conducted via a secure video platform. Clients are responsible for ensuring they have a working device, camera, microphone, and stable internet connection prior to the appointment.
• If the session cannot proceed due to technical difficulties on the client’s side, one complimentary reschedule will be offered. Subsequent failures will not be eligible for a refund or further rescheduling.
• If technical difficulties are on CliniHair’s side, the appointment will be rescheduled at no cost to the client.

5. Medical and Professional Advice

• Services provided by CliniHair are based on professional clinical training and certification. Individual results may vary.
• The client is responsible for following the care instructions and treatment plans provided during consultations.
• CliniHair is not liable for outcomes arising from failure to follow clinical advice or aftercare instructions.
• Prescriptions, where applicable, are issued solely at the clinical discretion of the prescribing trichologist following a thorough assessment. A prescription is not guaranteed as an outcome of consultation.
• CliniHair services do not replace emergency medical care. If you have an urgent medical concern, please contact your GP or call 999.

6. Right to Decline or End a Consultation

• CliniHair reserves the right to decline or end a consultation if the presenting concern falls outside our scope of practice, or if a client’s conduct is deemed inappropriate or abusive.
• In such cases, a refund will be issued at CliniHair’s discretion, taking into account the circumstances.

7. Confidentiality and Data Protection

• All personal and medical information shared with CliniHair is handled in strict compliance with UK GDPR and our Privacy Policy, available at clinihair.co.uk.
• Your data will not be shared with third parties without your explicit consent, except where required by law or necessary for your clinical care.

8. Service Changes

• CliniHair reserves the right to modify or discontinue any service, with reasonable notice provided to clients.
• Fees are reviewed periodically. Confirmed bookings will not be subject to price changes after payment has been made.
